Neolith prepares for the transition to electronic invoicing

Electronic invoicing is no longer optional in Europe. It is an expanding legal requirement that enables companies to issue, receive, and store invoices digitally with full legal validity, while ensuring security, traceability, and tax compliance.

For Neolith, the challenge is immediate. Electronic invoicing is no longer an isolated technology project, but a cross-functional strategic priority that requires technological adaptation, a review of internal processes, and close coordination among areas such as IT, Finance, and Operations.

Keeping pace with regulatory developments and anticipating upcoming requirements will be essential to ensure compliance with increasingly demanding regulations, minimize risks, and avoid penalties. At the same time, this transformation supports three key priorities for Neolith: operational efficiency, strategic business control, and digital transformation.

To achieve this, the company must address projects such as the rollout of the KSeF system in Poland in April 2026, standardization in Germany in January 2027, and the subsequent implementation in Spain, tentatively scheduled for October 2027. Together, these initiatives will support the global adoption of B2B electronic invoicing and will fundamentally transform invoicing management and implementation across Neolith.

The message is clear: the digitalization of invoicing is already a reality.

Germany, Poland, and Spain accelerate the transition to electronic invoicing

  • During 2026 and 2027, Neolith will carry out its transition to electronic invoicing in three countries: Spain, Poland, and Germany.
  • Implementing electronic invoicing systems in each market will require a comprehensive adaptation of internal processes, technology infrastructure, and data quality, helping to consolidate a more efficient operation aligned with the digital standards of the global industry.
  • Electronic invoicing is becoming a key driver of digital transformation across the organization, improving business control, minimizing regulatory risks, and accelerating the modernization of Neolith’s business processes.

SPAIN: MANDATORY DIGITAL TRANSFORMATION

Spain’s Crea y Crece Law establishes the mandatory use of electronic invoicing in transactions between companies and professionals, known as B2B transactions. Its objective is clear: to increase administrative efficiency, improve transaction traceability, and help reduce late payments in commercial transactions.

Timeline and Implementation:

Royal Decree 238/2026, published in the Spanish Official State Gazette on March 31, 2026, sets out the framework for the obligation to issue electronic invoices in business-to-business transactions.

The Ministerial Order, which is expected to be approved before July 1, 2026, will complete the regulatory framework by defining the technical requirements and the operation of Spain’s electronic invoicing system.

Neolith is expected to become subject to the technical electronic invoicing requirements in October 2027. However, this date remains dependent on the publication of the Ministerial Order mentioned above.

The main areas to be addressed will include adapting internal processes and invoicing systems, improving the quality and consistency of customer and supplier data, and integrating with the public electronic invoicing platform.

One particularly important and demanding aspect will be compliance with new operational deadlines. These will include confirming or rejecting invoices within four business days, as well as the automated monitoring of due dates and payments.

POLAND: CENTRALIZED KSEF SYSTEM

Poland has implemented a centralized model through KSeF, the National Electronic Invoicing System, which validates and stores invoices through a platform managed by the Polish tax authorities. The system is intended to strengthen tax control, reduce fraud, and improve the efficiency of business processes.

Since April 2026, Neolith Distribution Polska has been complying with this requirement and is working to fully implement the system in SAP during 2026.

GERMANY: GRADUAL IMPLEMENTATION

Germany has begun the gradual implementation of mandatory electronic invoicing for B2B transactions under the Growth Opportunities Act, with the aim of strengthening invoice control and reducing late payments.

Beginning January 1, 2027, Neolith will be required to comply, as the company will exceed the established thresholds.

The main challenges will include adapting invoicing and ERP systems to structured formats, ensuring the correct receipt and automated processing of electronic invoices, and maintaining proper document archiving and traceability in accordance with applicable regulations.
